CIO Insight: Knowledge Capture and Maintenance — Not Model Capability — Is The Big AI Challenge

Welcome to this Cloud Wars Agent and Copilot Minute. In these discussions, I’ll be analyzing opportunities, impact, and outcomes possible with AI; today’s focus is on how AI systems can address the issue of undocumented, inaccessible, or outdated company-specific knowledge.

Highlights

00:18 — AI models do not possess knowledge of a company’s customers, vendors, exceptions, or how processes actually operate. Much of the most valuable corporate knowledge resides with employees, including why decisions are made and which informal workarounds people trust. If knowledge exists only in one person’s head, it is unavailable to other departments or new hires — and it’s unavailable to AI systems.

02:12 — A document library connected to an agent creates a destination where people must go to ask questions. Exposing the same knowledge as a reachable data source, such as a Model Content Protocol (MCP) server, would allow Copilot and autonomous agents to use it without requiring a person to initiate a query. The central question is whether organizational knowledge is reachable, not merely searchable.

03:57 — I recommend a structured, repeatable process in which AI interviews experts, identifies implicit knowledge, checks for gaps and contradictions, and captures missing details. Documentation becomes stale unless it is treated as a maintained asset that is reviewed as processes change. We’re testing approaches internally and evaluating systems being built outside our company; I’m confident the primary constraint is knowledge capture and maintenance, not model capability.
